AI-assisted rental invoice auditing and monitoring

Check every rental invoice, prove each overcharge and track every credit.

Compare rental invoices with agreed rates, then keep findings, packets, credits and each billing cycle in one workspace.

Free audit: up to 20 invoices from one vendor. No credit card.

  1. Everyone feeds the same review. Start by adding the documents, each from whoever has it: Example Rental Vendor emails 12 August 2026 invoices from its verified sender address, accounting uploads an ERP export of 6 more, you upload rate agreement ERV-2026-EC-B and the field team photographs two off-rent acknowledgments — all read automatically into one private workspace.
  2. See every potential overcharge at once. Defined checks find 11 findings on six invoices: $12,000 in potential overcharges (the app calls them potential discrepancies), not vendor-accepted amounts. Every finding is still open. Grouped by kind, $6,000 is agreed-rate differences on three invoices, including invoice EX-2042's four lines of $500: $2,000, part of the $12,000, not added to it. The rest is $4,500 after the agreed billing end and $1,500 in a delivery charge.
  3. Know exactly why each one is flagged. Each line is compared with its agreed rate: rate agreement ERV-2026-EC-B, page 1, sets $3,500 per lift, so each line is $500 over. The finding shows the billed amount read from the invoice and the agreed rate quoted from the agreement.
  4. Everyone knows who follows up, and by when. RentalSpend has bundled the four findings and their proof into one $2,000 vendor packet. In the shared Inbox, Morgan Ellis gives its follow-up to a teammate, Jordan Reyes, with a target date of October 24 and a comment. None of these approves the packet or contacts the vendor.
  5. Ask your vendor, with the proof attached. Your team pursues the four findings, and RentalSpend bundles them into one vendor packet: four findings of $500, $2,000 in all, each citing its invoice line and the agreement page. A Workspace Admin approves this exact packet before your team sends it; RentalSpend never contacts the vendor itself.
  6. Track every credit your vendor issues. Later, after the vendor reviews the packet, credit memo CM-2242 issues $2,000 against invoice EX-2042 only. It has not been applied to an invoice or refunded yet ($0), so it stays open until it is.
  7. See what’s credited and what’s still open. Back in the review, each figure stays on its own: $12,000 in potential overcharges was identified, $10,000 on the other five invoices has no vendor credit yet, $2,000 is issued for EX-2042, and $0 is applied or refunded. They are never added together.
  8. Keep every billing cycle in check. RentalSpend keeps checking. In September 2026, three invoices from the same vendor have arrived and match the agreed rates, and invoice RV-1301 is flagged as expected but not received.
  9. Protect your rental spend from costly overcharges. Every invoice, checked against the rates you agreed.

1Findings

See the evidence behind each finding.

Bring supported invoices and the agreement or rate sheet that applied. RentalSpend compares billed and agreed rates and links each supported difference to its original source.

  • The calculation is shown line by line, in plain terms.
  • Open the cited invoice and agreement pages.
  • Missing or unclear information stays visible.
RentalSpend finding on invoice EX-2042, line 1: billed $4,000, expected $3,500, a $500 potential overbilling with its calculation, beside the two source pages it cites — the invoice line read at $4,000 and the 60-ft diesel straight boom lift rate of $3,500 on page 1 of rental rate agreement ERV-2026-EC-B.
One finding from the $12,000 example review: invoice EX-2042, line 1, billed $4,000 against the agreed $3,500, on their source pages.

2Packets

Prepare a packet your vendor can verify.

Choose the findings worth pursuing. A packet brings their invoice lines and agreement evidence together for Workspace Admin approval before your team sends it.

  • Cited documents travel with the request.
  • Changed evidence marks the packet out of date.
  • RentalSpend never contacts vendors automatically.
RentalSpend vendor packet for Example Rental Vendor awaiting Workspace Admin approval: billing review of 4 items, $2,000 — invoice EX-2042, lines 1 to 4, $500 each, citing rental rate agreement ERV-2026-EC-B, page 1, with both documents attached and evidence up to date; approving sends nothing, your team sends it.
EX-2042's four findings in one $2,000 packet, each citing the agreement, awaiting Workspace Admin approval.

3Credits

Follow each credit until it's actually applied.

Record vendor responses and credit memos. Issued credits stay separate from amounts applied or refunded, with the remaining balance visible.

  • Potential, vendor-approved, issued and applied amounts stay separate.
  • Supporting documents confirm each credit.
  • Open balances carry forward until resolved.
RentalSpend recovery for credit memo CM-2242 on invoice EX-2042: requested $2,000, approved by the vendor $2,000, credit issued $2,000 and $0 applied or refunded shown as separate stages, with a $2,000 open balance and the credit memo attached.
Later, after vendor review: credit memo CM-2242 issues $2,000 for EX-2042, with $0 applied so far and the open balance tracked separately.

4Monitoring

Keep checking every billing cycle.

With a monitoring subscription, new invoices are checked against agreed rates already on file. Each period shows received and evaluated invoices, exceptions and missing coverage.

  • Agreed rates are reused every billing cycle.
  • Gaps are flagged, never assumed away.
  • Monthly reports summarize invoices, finding statuses and open credits.
RentalSpend monitoring for Example Rental Vendor: August 2026 with 18 invoices checked and 6 with findings, September 2026 with 3 of 4 expected invoices received and one missing, October in progress; the missing invoice RV-1301 of September 25, 2026 for $1,480 is on the AP register but not yet received.

Platform tour · about 90 seconds

Follow three machines through three different checks.

Step through a prepared example at your own pace. Nothing is uploaded, saved or sent.

  1. Invoices arriveExample Rental Vendor's invoices arrive by team upload or the workspace's email intake address; the $12,000 example review reads 18 of them. This tour follows three machines, a different check each.
  2. Rate checkSchedule A of ERV-2026-EC-B sets this lift at $3,500 per 4-week period; line 1 bills $4,000 for the same machine and period. $500 per lift — All four lifts on EX-2042 are billed the same way — $2,000 on this one invoice.
  3. Off-rent checkOff-rent notice ON-1203 ends billing at the end of Aug 16. The invoice bills this lift through Aug 21 — 5 extra days at the $225 daily rate. $1,125 on this line.
  4. Delivery checkSchedule C sets a fixed $1,000 delivery charge per order; RV-1205 bills $2,500 for delivery. The lift's own rental is at its agreed rate. $1,500 on this line.
  5. Get it backThe chosen findings become one packet (4 findings, $2,000) awaiting Workspace Admin approval; later, credit memo CM-2242 for $2,000 is issued but not yet applied, and September 2026 monitoring flags invoice RV-1301 as not received.

AI with evidence and control

AI reads. Defined checks calculate. Your team decides.

AI handles repetitive reading. Source evidence stays visible; decisions stay with your team.

  • AI helps read your documents

Review extracted invoice, agreement and rate-sheet fields beside the original page. Unclear values are labeled, not guessed.

  • Defined checks do the math

Defined checks calculate supported differences and cite their sources. An AI review can add a second opinion; it never changes the amount.

  • Your team decides

You choose what to pursue; a Workspace Admin approves each packet. Nothing is sent automatically, and money back means a recorded application or refund.

RentalSpend does not promise savings, contact vendors on its own or treat a finding as recovered money. Results depend on your documents, your agreements and your vendor. See what we check

Team collaboration

Keep your team's next step clear.

Bring finance, AP and operations into one workspace with unlimited collaborators, and coordinate exceptions, approvals and credit follow-ups in one Inbox.

  • Clear ownership. Set an owner, a target date and progress for each next step.
  • Conversations in context. Comment, reply and @mention teammates beside the work.
  • Useful notifications. Assignments, mentions and replies arrive in the in-app bell.

Workspace Admins manage invitations, assign others and approve packets.

RentalSpend Inbox with three follow-ups — expected invoice RV-1301 not received, a credit follow-up date reached for CM-2242 and dispute packet EX-2042 approved; the open item, RV-1301, is owned by Jordan Reyes with a target date of October 26, 2026 and progress Waiting; Morgan Ellis asked Jordan by mention to request a copy, and Jordan replied that the vendor will email it to the intake address by Friday.
