The agreement
“RentalSpend,” “we” and “us” mean RentalSpend LLC, the business that operates the service, at the address shown on this page. “You” means the business using the service and its authorized users.
When you accept these Terms for a business, you confirm that you have authority to act for it. Authorized users must be at least 18 years old. The service is intended for business use, principally U.S. equipment-rental records in U.S. dollars.
Your accepted subscription agreement, order or checkout terms control the price, billing cadence, spend allowance, commitment, renewal and cancellation rules for that subscription. If they conflict with these general Terms, the specifically accepted commercial terms control. Publishing a new price or these Terms does not replace an existing customer's accepted commercial agreement.
What RentalSpend does
RentalSpend helps your team read supported rental invoices and agreements, review evidence-backed potential discrepancies, prepare correction packets, track credits and monitor new billing periods. Available checks depend on the supported document format, applicable agreement, relevant evidence and service you selected.
AI assists document reading and advisory review. Defined checks calculate supported differences. AI output can be incomplete or wrong; it is not a substitute for checking the cited source, the applicable agreement and any relevant exception. Your team decides what to pursue.
A finding is a potential discrepancy, not a confirmed debt, a vendor's approval or recovered money. Vendor-approved amounts, issued credits and applied credits or refunds are separate stages. RentalSpend does not guarantee an overcharge, a particular recovery, an amount saved or a vendor response. It does not provide legal, tax or accounting advice.
RentalSpend does not automatically contact your rental vendors, send your dispute packets or pay their invoices. Your business remains responsible for its vendor communications, payment obligations and decisions. A separate service would require its own expressly agreed scope; viewing this website does not engage a managed recovery service.
Your workspace and users
Give accurate account and company information, protect your sign-in credentials and notify us of suspected unauthorized access. Each person should use their own account. Your business is responsible for choosing its workspace members and assigning appropriate roles.
Active customer members can view their workspace's business records and original evidence. Admin-only actions remain separate, including acceptance of commercial terms and final packet approval. Authorized RentalSpend staff can access workspace information for support, operations, security and other purposes described in the Privacy Policy. Removing a user's membership changes access; it does not erase the business's records.
We may verify authority before changing membership, disclosing records or acting on an account or privacy request. Neither possession of a link nor a vendor email address grants workspace access.
Your documents and results
You retain your rights in the documents, business records and other content you supply. You are responsible for having the rights, authority and any required permissions to upload or forward that content, including information about other people or businesses.
You give RentalSpend a limited right to host, copy, process, transmit to service providers and display your content as needed to provide the service, support your workspace, maintain security and meet legal obligations. This permission does not transfer ownership of your documents or allow us to publish your private records as marketing examples. Customer names, testimonials or customer-result case studies require separate permission.
You may use and export your business's results under your applicable access rights. RentalSpend retains its rights in the software, brand, checks and other underlying technology. The service does not transfer rights in another party's source documents that you did not already have.
Preserve your own records and check exported materials before using them. Corrections or new evidence may invalidate an earlier result or packet; a previous approval does not approve changed content. A Customer Admin must approve the exact current packet before using its approved export.
Do not upload material unrelated to the review, payment-card security codes, passwords or unnecessarily sensitive personal information. Supported media types, file sizes, logical-invoice limits and safety checks apply. Rejected, incomplete or unsupported input must not be treated as successfully audited or error-free.
The free audit and examples
The free initial audit covers up to 20 invoice records from one vendor issued in the previous 90 days, subject to the stated supported formats and document-safety limits. One invoice is enough to start. An older rate agreement may be relevant if it governed the invoiced period. Supporting documents are optional, but missing agreement or other evidence can limit a check.
The stated offer is an initial response within 48 elapsed hours of successful submission: findings or a clear next step. A request for additional information does not restart the original response deadline. The offer does not guarantee a completed complex investigation within that period or the full paid packet workflow.
The free audit requires no payment card and does not automatically start a paid subscription. Free findings remain available if you decline paid work, subject to normal account authorization and the applicable retention arrangements.
The public platform tour and sample documents illustrate a fictional scenario. Their amounts are not customer results or predictions about your invoices. Public tour actions do not submit a real audit, approve a real packet or record a financial transaction. The separately authenticated in-app sample remains distinct from your real business activity.
Subscriptions, charges and renewals
Only an authorized Customer Admin can accept a paid subscription or a change to commercial terms. Before payment, the acceptance flow states the applicable price, cadence, commitment, spend allowance, renewal rules and cancellation obligations. Your explicit agreement, given with a checkbox that starts unchecked, and the displayed terms govern authorization; a marketing click or a payment-page redirect is not confirmation of payment or activation.
New spend-based subscriptions use the commercial policy version you accepted. Monthly payments may be installments of a 12-month commitment, rather than a cancel-anytime monthly contract. Annual subscriptions may be paid upfront. Your accepted terms also explain whether exhausting the spend allowance causes early renewal, any remaining installments due, excess spend carried forward and cases requiring a further review. Under the current policy, the allowance is measured as processed invoice value: the stated total of each unique supported equipment-rental invoice RentalSpend processes for your workspace, including the taxes and fees in that total, counted once in the term in which it is first processed. Later credits, refunds or revised copies do not reduce it. Do not infer your obligations from a public calculator estimate alone.
Subscriptions renew only under the renewal authorization and terms disclosed in the accepted agreement. We do not silently reprice an accepted legacy subscription using a newer public catalog. Charges and payment status are reconciled through the payment provider; an uncertain or unsuccessful payment does not establish new entitlement.
We use a hosted payment provider for checkout and billing management. Applicable taxes and any separately agreed fees are disclosed in the relevant purchase. Tell us promptly about a suspected billing error; the general refund language below does not waive rights concerning an unauthorized, duplicate or otherwise incorrect charge.
Cancellation, refunds and unpaid amounts
Use the subscription's cancellation controls or contact support if you cannot use them. The confirmation identifies the renewal stopped, any settlement, the service end and the read/export cutoff. Cancelling future renewal does not necessarily cancel an existing annual commitment. For the monthly-installment policy, remaining installments may be due as stated in the agreement; any settlement acceptance and payment follow the displayed flow.
30-day money-back guarantee: paid subscriptions come with a 30-day money-back guarantee. If you are not satisfied, a workspace Admin may request a refund through RentalSpend support within 30 days of your first successful subscription payment. We then refund all subscription payments made during that period (less any amount already refunded) and waive your remaining commitment; the subscription ends with no further charges and the usual read/export window applies. The 30 days start once, at the first successful subscription payment, and do not restart on a renewal or plan change. The guarantee covers subscription payments only, not vendor invoice amounts, and does not apply to the free audit or sample practice, which involve no payment.
Outside the guarantee, and unless the accepted agreement, applicable law or a separate written resolution provides otherwise, subscription fees are not refundable solely because you did not use the service or because an audit did not find an overcharge, and remaining installments of a commitment stay due as stated in the agreement. This does not override an expressly agreed refund, an accepted legacy entitlement or a remedy required by law.
The accepted policy provides a seven-day payment grace period from the original due date; retries do not restart it. If the payment remains unresolved, affected paid processing can stop, with the applicable 30-day read/download/export window shown to you. Other entitled workspaces and retained free-audit records remain governed by their own access basis. Loss of paid access and deletion of data are different events.
Acceptable use and availability
Do not attempt to access another business's records, bypass safety or permission checks, upload malware, abuse the service, disrupt its operation, or use it for unlawful or misleading claims. Do not present an illustrative result as a genuine customer recovery. Security research requires coordination rather than access to another customer's data.
We may restrict activity reasonably necessary to address abuse, a security incident, a legal obligation or a material breach of these Terms. When appropriate and practicable, we will explain the issue and provide a way to resolve it. These provisions do not create an additional paid processing allowance or a hidden customer fee.
We aim to provide a reliable service, but maintenance, provider outages and other interruptions can occur. No uptime service-level agreement or guaranteed processing speed applies unless expressly included in your agreement. Support is available through the service's Help and Contact routes; a demo request is not a confirmed appointment.
Privacy and confidentiality
The Privacy Policy explains personal information, document access and service-provider processing. We treat non-public customer business records as confidential, use them for the service and related permitted purposes, and disclose them to authorized users, service providers or others only as described there or as legally required.
The same confidentiality expectation applies to non-public business information exchanged for support or a separately agreed service. It does not apply to information already public without a breach, independently developed, lawfully obtained from another source, or required to be disclosed by law. We will use reasonable steps to limit a required disclosure and, when legally permitted, notify the affected customer.
Disclaimers and responsibility
Except for express commitments in your accepted agreement and obligations that law does not allow us to exclude, the service and outputs are provided as available, without implied warranties of merchantability, fitness for a particular purpose or guaranteed error-free operation. These qualifications do not excuse our express confidentiality, data-protection or billing obligations.
To the extent permitted by law, neither party is liable under these Terms for indirect or consequential loss, including lost profits arising indirectly from use of the service. RentalSpend's total liability for claims arising from the service is limited to the greater of the fees you paid to RentalSpend for the affected service in the preceding 12 months or $100. The limit does not apply to fraud, willful misconduct, gross negligence or liability that applicable law prohibits limiting. Your obligation to pay valid accepted fees is separate from this liability limit.
Each business remains responsible for its unlawful conduct and for third-party rights it violates. We do not require you to indemnify RentalSpend for RentalSpend's own misconduct or treat a mistaken product result as your breach simply because you used the service.
Disputes, changes and contact
Contact us first so we can try to resolve a dispute informally. Neither party must give up a statutory deadline, a non-waivable right or urgent court relief while doing so. These Terms do not impose mandatory arbitration or a class-action waiver. Disputes may be brought in a court with lawful jurisdiction.
Material changes to these Terms will be communicated before they apply to an existing customer's continuing service, subject to applicable law. Changes do not retroactively authorize a charge or replace an accepted commercial commitment. A change requiring fresh commercial acceptance follows that acceptance process.
If a provision cannot be enforced, the remaining provisions continue to apply to the extent allowed by law. A failure to enforce a provision on one occasion does not waive it permanently. Neither party may assign an agreement in a way that improperly reduces the other party's rights; a legitimate business transfer remains subject to the confidentiality and privacy commitments described here.
For service, billing, legal or privacy questions, use Contact or the Help route in your account. Include enough information to identify the issue, but do not send passwords, payment-card details or unnecessary document contents in a general contact message.
